Use & Conduct – Room Rental Policy
To ensure a safe and welcoming environment for all library users:
The meeting room may be used only during regular library hours, unless special arrangements are made.
The applicant is responsible for the behaviour of all attendees and for compliance with Library policies, including the Rules of Conduct.
Room capacity limits set by the Library must not be exceeded.
Set-up and clean-up time must be included in the booking time.
Users are responsible for leaving the room in the same condition it was found:
dispose of garbage in the containers provided,
return furniture to its original arrangement,
remove all personal items and decorations.
Decorations must not be taped, stapled, or otherwise attached in a way that damages walls, doors, or furnishings.
Open flames (including candles) and hazardous materials are not permitted.
Food and non-alcoholic beverages may be served, subject to Library guidelines.
Alcohol is not permitted unless specifically approved in advance in accordance with municipal and provincial regulations.
The Library is not responsible for lost or stolen items.
The Library reserves the right to refuse or cancel bookings that:
conflict with Library programs or priorities,
violate Library policies or legislation, or
are likely to cause damage or disrupt regular Library use.
Cancellation / no-show terms :
Cancellations should be made at least 48 hours in advance when possible.
Fees may be forfeited in the case of late cancellation or no-show.
The Library may cancel bookings in emergencies or due to facility issues; where possible, an alternative date or refund will be offered.
- If you cancel your event within thirty (30) days you will be refunded minus a $20.00 administration booking. If you cancel with less than thirty (30) days’ notice you will forfeit all fees, no shows will not be refunded. Refunds will be provided if the library has closed due to weather or emergency, it is the responsibility of the renter to confirm possible closures.
